Privacy policy

Last updated: 19 October 2026

At mspnotes.com, we are committed to protecting your privacy and ensuring the security of your personal information. This Privacy Policy outlines how we collect, use, disclose, and safeguard your data when you visit our website. By using mspnotes.com, you consent to the data practices described in this policy.

1. Information We Collect

1.1 Personal Information: We may collect personally identifiable information, such as your name and email address, when you voluntarily submit it through our contact forms or subscribe to our newsletter. If you sign in to take part in community features (such as suggesting or commenting on wiki articles), we receive your name, email address and profile picture link from the sign-in provider you choose (for example, Google).

1.2 Usage Information: When you visit mspnotes.com, we automatically collect information about your visit, through our own analytics (Section 3) and through Google Analytics (Section 4). This includes:

  • The pages you view, and the date and time of your visit
  • The website or link that referred you, including any campaign tags in that link (for example, utm_source)
  • Your browser type, and a screen-size category (mobile, tablet or desktop)
  • Whether you interacted with a page, and how long it was visible on your screen
  • Your IP address, which is shortened before it is stored in our own records (Section 3)
  • A random identifier stored in a cookie, so that repeat visits from the same browser are counted once (Section 5)

We do not use usage information to identify you personally, and we do not combine it with your name or email address.

2. How We Use Your Information

2.1 Personal Information: We may use the personal information we collect for the following purposes:

  • To respond to your inquiries or comments
  • To send you newsletters or updates you have subscribed to
  • To show your name next to your community contributions
  • To improve our website and user experience
  • To detect and prevent fraud or abuse

2.2 Usage Information: We use usage information to:

  • Understand which articles are read and how readers find them
  • Tell real readers apart from automated traffic, such as search engines, AI crawlers and scanners
  • Detect and prevent abuse of the website
  • Improve our website's performance and user experience
  • Measure the effectiveness of our newsletters and social media posts

3. Our Own Analytics

In addition to Google Analytics, we measure readership ourselves. This data stays with us: it is stored in our database at our hosting provider, Heroku (Salesforce, Inc.), in the United States, and is not shared with or sold to anyone.

3.1 Server logs: For each page request, our server records the page address, the date and time, the referring page, any campaign tags in the link, your browser's identification string (user agent), the random identifier described in Section 5, and your IP address in shortened form. The last part of the IP address is removed before it is stored (the last of the four numbers of an IPv4 address; everything after the first 48 bits of an IPv6 address), so it cannot identify an individual device. We use these logs mainly to recognise automated traffic and to keep the website secure.

3.2 Page-view measurement: When a page loads in your browser, a small script served from mspnotes.com sends us a page-view record: the page address, the domain of the referring website, campaign tags, a screen-size category, your browser name, whether you scrolled, clicked or kept the page visible for at least 10 seconds, how long the page was visible, and the random identifier. These records do not include your IP address. The script communicates only with mspnotes.com.

3.3 Retention: We keep these analytics records for up to 12 months, after which they are deleted.

We process this information on the basis of our legitimate interest in understanding how our content is used and in protecting our website.

4. Google Analytics

We also use Google Analytics 4, a web analytics service provided by Google LLC ("Google"), as an independent measure of how visitors use our website. Google Analytics uses cookies (Section 5) and similar technologies to collect information about your use of the website and to compile reports on website activity. According to Google, Google Analytics 4 does not log or store IP addresses. Information collected by Google may be transferred to and processed on servers in the United States.

Google may use the data collected to contextualize and personalize the ads of its own advertising network. For more information on how Google uses this data, visit Google's Privacy Policy: https://policies.google.com/privacy

You can opt out of Google Analytics by installing the Google Analytics Opt-out Browser Add-on, available at https://tools.google.com/dlpage/gaoptout. Many browser privacy settings and content blockers also prevent Google Analytics from loading.

5. Cookies

Our website uses the following cookies:

  • visitor_id (mspnotes.com, 2 years): a random identifier used by our own analytics to count unique and returning readers. It contains no personal information.
  • session (mspnotes.com, deleted when you close your browser): protects forms against misuse and keeps you signed in if you use community features.
  • cookie_consent (mspnotes.com, 1 year): remembers that you have dismissed the cookie notice.
  • _ga and _ga_8CN0FCND5Y (set by Google Analytics, up to 2 years): distinguish visitors for Google Analytics.

You can block or delete cookies in your browser settings. If you block the visitor_id cookie, your page views are still counted, but without an identifier, so repeat visits cannot be linked. Blocking the session cookie may stop forms from working.

6. Third-Party Links

Our website may contain links to third-party websites. We have no control over the content, privacy policies, or practices of these websites and are not responsible for their privacy practices. We encourage you to review the privacy policies of any third-party sites you visit.

7. Data Security

We implement reasonable security measures to protect your personal information from unauthorized access, alteration, disclosure, or destruction. However, no method of transmission over the Internet or electronic storage is 100% secure, and we cannot guarantee absolute security.

8. Children's Privacy

Our website is not intended for children under the age of 13. We do not knowingly collect personal information from children under 13. If you are a parent or guardian and believe that your child has provided us with personal information, please contact us, and we will delete such information from our systems.

9. Changes to This Privacy Policy

We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Last updated" date at the top of this policy. You are advised to review this Privacy Policy periodically for any changes.

10. Your Rights

Depending on your location, you may have certain rights regarding your personal information, such as the right to access, correct, or delete your data. Because our analytics records contain no name, email address or full IP address, we usually cannot link them to you. If you would like the analytics records for your browser deleted, send us the value of your visitor_id cookie (visible in your browser's developer tools) and we will delete them. To exercise these rights or if you have any questions about this Privacy Policy, please contact us using the information below.
